Invitarium User Guide

1. Introduction

Invitarium (invitarium.io) is a modern service for creating and managing electronic invitations, response collection forms, countdown timers, and interactive maps. The service helps organize events, invite guests, and collect necessary information from participants.

2. Registration and Login

Creating an Account

  1. Go to the Invitarium homepage (invitarium.io).
  2. On the login page, you will see authorization options.
  3. You can create a free Invitarium account in two ways:
    • Click the "Continue with Google" button to register using your Google account
    • Click the "Continue with email" button to register using your email address

Logging In

  1. On the login page, choose your preferred authentication method:
    • Use your Google account by clicking "Continue with Google"
    • Log in with your email by clicking "Continue with email"
  2. After successful authorization, you will be redirected to the "My templates" page, where your templates are displayed.

3. User Interface

After logging in, you will see the main interface with the following elements:

  • Top Panel: Contains the Invitarium logo, statistics menu ("Stats"), and logout button ("Log out").
  • Central Panel: Displays your templates under the "My templates" heading.
  • Add New Button: Allows you to create new elements.
  • Trash: Trash icon for accessing deleted elements.

4. Template Management

Creating New Elements

  1. Click the "Add new" button in the upper right corner of the "My templates" panel.
  2. Select the type of element you want to create:
    • Folder
    • Countdown
    • RSVP Form
    • Map

Folders

Folders allow you to organize your templates by categories:

  1. Select "Folder" from the "Add new" dropdown menu.
  2. Set a name for the new folder.
  3. Use the created folder to group templates.

Countdown Timer

The countdown timer helps track the time until the start of an event:

  1. Select "Countdown" from the "Add new" dropdown menu.
  2. On the "New Countdown" page, configure the parameters:
    • Link: Automatically generated link to the timer, which can be copied with the "Copy link" button.
    • Date: Set the end date of the countdown by selecting month, day, and year.
    • Time Units: Select time units to display (Years, Months, Weeks, Days, Hours, Minutes, Seconds).
    • Font: Choose a font for displaying digits (e.g., Roboto).
    • Colors: Set the color of digits ("Digits color") and the color of the last unit of measurement ("Last unit color").
  3. A preview of the timer is displayed at the bottom of the screen.

RSVP Form

The RSVP form allows you to collect responses from participants:

  1. Select "RSVP Form" from the "Add new" dropdown menu.
  2. On the form page, there are three tabs:
    • Questions: For creating and editing questions
    • Responses: For viewing received responses
    • Settings: For configuring form parameters

Questions Tab

  1. You will see an automatically generated link to the form, which can be copied with the "Copy link" button.
  2. The "Preview" button allows you to preview the form.
  3. By default, a "Paragraph" field is created for long text responses.
  4. To add new fields, use the dropdown menu on the right:
    • Paragraph: Field for long text
    • Checkboxes: Checkboxes for multiple choices
    • Dropdown: Dropdown list
    • Multiple choice: Radio buttons for single choice
    • Name: Field for entering a name
    • Yes/No: Field for Yes/No answer
  5. For each field, you can configure:
    • Question text
    • "Required" checkbox for mandatory fields

Responses Tab

  1. Here, all responses received for your form are displayed.
  2. The number of responses is shown at the top (e.g., "2 responses").
  3. The "Download CSV" button allows you to export all responses in CSV format.
  4. Each response contains:
    • Response number
    • Name or identifier of the respondent
    • Answers to the form questions
    • Buttons for editing or deleting the response
  5. The "Delete all responses" option allows you to delete all received responses.

Settings Tab

  1. Notifications:
    • Enable/disable receiving email notifications about new responses
    • Specify an email address for notifications
    • Click "Edit" to change the email address
  2. Text Styles:
    • Question text style: Choose font and size for question text
    • Response text style: Choose font and size for response text

Map

The map function allows you to add an interactive map with the event location:

  1. Select "Map" from the "Add new" dropdown menu.
  2. Configure map parameters:
    • Enter the address or coordinates of the location
    • Configure scale and display style
    • Add markers and descriptions

5. Working with Responses

  1. Go to the "Responses" tab in the created RSVP form.
  2. View the list of all received responses.
  3. For each response, the following actions are available:
    • View detailed information
    • Edit (pencil icon)
    • Delete (trash icon)
  4. Use the "Download CSV" button to export all responses in CSV format.

6. Settings

To configure RSVP form parameters:

  1. Go to the "Settings" tab.
  2. Configure email notifications:
    • Enable/disable receiving notifications about new responses
    • Specify or change the email address for notifications
  3. Configure text styles for questions and responses:
    • Choose a font from the dropdown list
    • Specify the font size

7. Frequently Asked Questions

How do I delete a form or timer?

Find the element in the "My templates" list, click the trash icon next to it to move it to the trash.

How do I restore a deleted element?

Go to the trash by clicking the trash icon on the main page, and restore the desired element.

Can I change the link to a form or timer?

Links are generated automatically and cannot be changed by the user. To create a form with a new link, create a new element.

How do I change the date in an already created timer?

Open the created timer and change the date in the corresponding month, day, and year selection fields.

Where can I see statistics for my forms?

Click the "Stats" button in the top panel to view general statistics for all your elements.
